Terms and Conditions

It is your responsibility to be in possession of a passport valid for at least 6 months after your trip. Visa Nepal: you can get it at the Embassy of Nepal in your  country, or when you arrive at Kathmandu airport. It must be valid for the entire duration of your stay. Kathmandu Guides Company Treks can not be held responsible if you have not been able to obtain these documents on tim 

TRAVEL INSURANCE :

You must purchase repatriation travel insurance which covers the cost of repatriation, helicopter transportation & medical expenses in the event of an accident and in case of illness (including acute mountain sickness) Note: most credit cards include repatriation and medical insurance but does not cover diseases, it does not therefore cover mountain sickness. The cancellation clauses related to the card vary. Contact your 

BOOKING PROCEDURE : 

A 'trip' refers to any product itinerary or activities that you buy with us including Trekking, Tours, Expeditions, and/or other adventure and tour programs.

A booking is accepted and becomes definite only from the date when the Company sends a confirmation invoice or email. It is at this point that a contract between the Company and the Client comes into existence. 

After choosing your trip package with us, we need to send detailed name lists of participants and need to send us passport copy by e-mail for all trips in Nepal, and Tibet.

PAYMENT :

To secure place, 25 % down payment from Total Trip cost is required to make in advance as per the company policy, this deposit help us to make confirm reservation of domestic flights ,Hotels in City, and all other trip arrangements for final trip booking. Bank charges for the transaction are your responsibility.

Those wishing to settle the balance in cash can do so upon their arrival in Kathmandu. Payment is in dollars or euros but then we can only accept currencies of 50 or more. Rest of the payment should clear on arrival day. Be mindful, we also reserve the right to cancel your trip provided full amount is not paid on arrival day.

Any trip booking Payment procedures is very easy with Kathmandu Guides Trekking and expeditions. We accept your last minute booking also, but full payment of total tour cost should be made in advance if necessary or can pay full payment on arrival day.

On our holidays tour / trek packages, rooms or tents are provided in twin sharing basis. Thus, single room supplement charge will be imposed to client.

CALCELLATION :

Notice of cancellation and refund request must be received in written form.

FOR HIKKING, TOURS AND TREKKING :

* Above 65 days before departure 75% payment (advance payment) – Refund.

* Above 45 days before departure  50% of the total cost (advance payment) – Refund.

* Above 30 days or less before departure – No Refund.

FOR MOUNTAIN EXPEDITIONS :

* Above 60 days before departure 25% of the total cost (advance payment) – Refund. 

* 30 days or less before departure – No Refund.

* No refund will be made to clients who drop out from the journey regardless of whatever portions remain unused in the itinerary. In case of the journey broken of early return upon client's own wish or causes, Kathmandu Guides Cocmpany Trekking & Expeditions shall not be liable to any refund of the days not utilized. Clients have to pay for the hotel or any extra costs incurred after leaving the itinerary.

INTERRUPTION OR MODIFICATION OF STAY :

Any interruption or modification of stay beyond our control or on your part (for medical or other reasons) can not give rise to a refund. Any modification resulting in an additional cost will be your responsibility

PORTERAGE :

Porterage is the traditional carriage in the Himalayas. By default, we have one porter for 2 people. In tourism, ethics charter limits their load to 30 kg during treks in bivouac and 25kg during treks in lodge. The maximum load to be left with them is therefore 15kg (bivouac), or 12-13kg (lodge) per person. If your luggage exceeds these limitations, we will be forced to count an additional porter that will be your responsibility (price depending on the duration and the region of the trek). 

Lodges, which refers to the type of accommodation during treks, are not hotels. They are improved homestays. They are often basic, with succinct comfort, without private bathroom and
